Summary. CableFi collects the details you give us (for example, when you request a demo), information about how your browser and device use our website, and the data our customers keep in our software. We use it to run and improve CableFi, to reach you about CableFi by phone, text, email and mail, to show you relevant messages and ads, and to keep our services secure. We use service providers, including advertising platforms, to do this. You can opt out of texts by replying STOP, of email by using the unsubscribe link, and you can ask us to access, correct or delete your information at support@cablefi.io.
1. Who we are and what this policy covers
This Privacy Policy explains how CableFi ("CableFi", "we", "us") collects, uses, shares and protects personal information when you visit cablefi.io and our landing pages, request a demo or a download, talk or write to us, or use the CableFi web and mobile apps (together, the "Services"). CableFi is based in Wilmington, North Carolina, United States.
Our customers are businesses. When a customer stores information about its own clients, contacts or employees in CableFi, the customer decides how that information is used, and we process it on the customer's behalf under our agreement with them (see section 10).
By using our website or submitting a form, you acknowledge that your information will be handled as this policy describes.
2. Information we collect
Information you give us
- Contact and business details: name, email address, phone number, company, job role, and anything you type into a form, such as the type of work your company does or its size.
- Meeting details when you book a demo: the time you choose and what you tell us.
- Messages, calls and texts you exchange with us, including call recordings and transcripts, voicemails and the content of emails and texts.
- Account and billing details if you become a customer: login details, organization information and payment information (card payments are handled by Stripe; we do not store full card numbers).
Information collected automatically when you use our website
- Device and browser information: browser type and version, operating system, device type, screen size, language, time zone and referring page.
- Usage information: the pages you view, how long you stay, how far you scroll, the buttons and links you click, forms you start, videos you play, and whether you saw, closed or clicked an on-site message.
- IP address, and the approximate location we derive from it: city, state or region, country, time zone and the network or company your connection belongs to. To look this up we send your IP address to an IP location service (GeoJS, or ipinfo.io when we have configured it); until a lookup is available we estimate country and region from your browser's time zone and language. We do not collect precise GPS location from our website.
- Identifiers stored on your device: a random first-party visitor identifier and session identifier, and the advertising and campaign parameters in the link that brought you (for example, UTM tags and ad click identifiers).
- Whether a visit comes from a bot or automated software, or from our own staff, so that those visits are left out of our numbers and never treated as a prospect.
- Signals your browser sends, such as Do Not Track or Global Privacy Control (see section 9).
Information from other sources
- Business contact data providers, such as Apollo, which may give us or confirm your business email, phone number, job title, company and company details (data enrichment).
- Advertising and social platforms (Meta, Google, LinkedIn and others), for example when you submit a lead form on those platforms or interact with our ads and posts.
- Public sources such as your company's website and public business listings.
- Our customers, for the information they store in CableFi.
3. Cookies and similar technologies
We and our advertising partners use cookies, browser storage, pixels and similar technologies:
- First-party identifiers (CableFi): the
cf_vidcookie holds a random visitor identifier for up to 400 days (the same identifier is also kept in your browser's local storage), and thecf_sidcookie holds a session identifier that expires after 30 minutes without activity. Our servers set and refresh both on each visit. They let us count visits, recognize a returning browser, keep your campaign source with your visit, and remember that you have already seen an on-site message. - Meta Pixel and Conversions API (Meta Platforms): measure visits and conversions from Meta ads (Facebook and Instagram) and help build and measure ad audiences. The pixel runs on our public website and landing pages, not inside the signed-in app. Meta's own cookies (
_fbp,_fbc) are kept as first-party cookies on our main domain, and our servers may refresh them so they last as long as Meta intends. - Google tag (Google Analytics 4 and Google Ads): website analytics, ad conversion measurement and remarketing. Google's
_gacookie is kept as a first-party cookie on our main domain, and our servers may refresh it. - Returning visitors: when we recognize a browser as a returning visitor (by default, three or more visits within 14 days), our pages tell Meta (a "ReturningVisitor" event) and Google (a "returning_visitor" event), so we can show ads to returning visitors and measure them.
- Server-side conversion reporting: when you submit a form, book a demo or sign up, our servers may also report that event to Meta, Google and LinkedIn so they can measure and optimize our ads. These reports can include your email address and phone number in hashed (one-way encrypted) form, your IP address, your browser's user agent and the advertising identifiers described above.
You can block or delete cookies and site data in your browser settings, and you can limit ad personalization through the settings of each ad platform (for example, Meta's Ad Preferences and Google's My Ad Center) or through industry opt-out tools such as optout.aboutads.info. Blocking these technologies may affect how parts of the site work.
4. How we use your information
- To respond and provide the Services: answer your requests, schedule and hold demos, send what you asked for (such as a workbook download), set up and support accounts, process payments, and operate the apps.
- To recognize you and personalize your visit: we recognize a returning browser (by default, three or more visits within 14 days count as returning). When you submit a form, book a meeting, or scan the QR code on a mailer we sent you, we link that browser to the contact details involved, and your earlier anonymous visits and later visits on that browser are attached to your record, so we know which pages you viewed. If you use more than one device, your visits on each are linked once you identify yourself on it. Your IP address is used only as a low-confidence, secondary signal (for example, that someone at a known company's office is visiting); it never on its own links visits to a person. We use this to show more relevant messages on our site, for example an offer shown when you appear to be leaving a page, or a greeting that uses your first name when you return.
- To let our team respond while you are here: our sales team can see when a known contact or prospect is on our website and which page they are viewing, and may call, text or email you at that time.
- To contact you (sales and marketing): we may call you, send text messages and email, and send postal mail to the contact details you provided or that we obtained as described above, about CableFi, your request, demos, offers and events (see section 6).
- To score and prioritize leads: we evaluate the information you give us and how you interact with our website and messages (for example, the type and size of your business and the pages you visited) to decide how likely CableFi is to fit your needs and how our team should follow up. This is profiling for business sales purposes; it does not produce legal or similarly significant effects on you.
- To advertise and measure: show you CableFi ads on other websites and apps, including to people who visited our site or are on our contact lists (retargeting and custom audiences, built by sending hashed contact details to ad platforms), find people similar to our audiences, and measure which ads, pages and messages work.
- To improve the Services: analyze use, test changes (for example, two versions of a page), and develop features.
- AI features: we use AI services to help operate CableFi, for example to draft and send emails and texts, summarize calls, research companies, score leads, produce marketing images and videos, and power AI features in the product (see section 5).
- Security and legal: detect and prevent fraud, abuse, bots and security incidents; enforce our Terms; and comply with law.
5. How we share information
We do not sell your personal information for money. We share it with:
- Service providers that work for us under contract, including: Supabase (database, sign-in and file storage), Railway (application hosting), Stripe (payments), Twilio (phone calls, call recording and text messages), Resend (email delivery), Nylas (connected email and calendars), Microsoft (Teams meetings for demos), Calendly (scheduling, where used), Lob (printed mail), Zernio (posting to social networks and managing ad accounts on Meta, Google, LinkedIn and others), Apollo (business contact data), GeoJS and ipinfo.io (approximate location from IP addresses), Google (maps, analytics and ads), and AI providers: Anthropic and, through OpenRouter, other model providers such as Google, OpenAI and Perplexity (text, research, voice, images and embeddings), and Runway and Higgsfield (video).
- Advertising and analytics partners: Meta, Google and LinkedIn receive the information described in section 3. Under some US state laws, this may be considered "sharing" personal information for cross-context behavioral advertising or a "sale". You can ask us to stop as described in section 8.
- Our customers: if you work with a CableFi customer, that customer controls the information it stores about you in CableFi.
- Legal and safety: when required by law or legal process, or to protect the rights, property or safety of CableFi, our users or others.
- Business transfers: in connection with a merger, acquisition, financing or sale of assets, subject to this policy.
- With your direction: when you ask us to share information.
6. Calls, texts, email and mail
When you give us your phone number or email address, for example in a form or when booking a demo, you give us permission to contact you at that number or address about CableFi, including by calls, text messages and email. Calls and texts may be made or sent using automated technology, including AI assistants and artificial or prerecorded voices. Message frequency varies, and message and data rates may apply. We may also send printed mail to your business address.
- Texts: reply STOP to any text to stop receiving them, or HELP for help.
- Email: use the unsubscribe link in any marketing email.
- Calls: tell us during a call, or email support@cablefi.io, and we will stop calling you.
- Mail: email support@cablefi.io to stop postal mail.
Calls with CableFi may be recorded and transcribed for quality, training and record-keeping. We honor every opt-out. We may still send messages you need, such as replies to your requests and account or billing notices.
7. How long we keep information
We keep personal information only as long as we need it for the purposes above, including legal, tax and accounting requirements:
- Detailed website activity (individual page views and on-site message events): up to 13 months by default (we may set a shorter period). Summaries of visits and visitors (for example, visit counts, first and last visit, pages of interest) are kept for as long as we keep the visitor or lead record.
- Full IP addresses on website visitor records: shortened to the network they belong to 90 days after a visitor's last visit. Looked-up IP locations are cached for up to 30 days. The live "on the site now" record of a visit is removed after one day. Links between an IP address and a known lead expire after 180 days.
- Lead and prospect records (contact details, form answers, communications, call recordings and notes): for as long as we have a business relationship or a reasonable sales interest, or until you ask us to delete them.
- Customer account data: for the life of the account and as our agreement with the customer requires, then deleted or anonymized on a schedule.
- Records of opt-outs: kept so we can keep honoring them.
8. Your choices and rights
You can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct information that is wrong;
- delete your information (we will keep a minimal record that you asked, so we do not contact you again);
- stop using or sharing your information for targeted advertising, or stop any "sale" or "sharing" of it, as those terms are defined by US state privacy laws;
- stop contacting you (see section 6).
To make a request, email support@cablefi.io with the subject "Privacy request", or use the contact options on our support page at cablefi.io/support. We will verify your request using the contact details we have, and we answer within the time the law requires (usually 45 days). You may use an authorized agent where the law allows. We will not discriminate against you for exercising these rights. Depending on where you live, you may also have the right to appeal our decision or to complain to a data protection authority.
9. Do Not Track and Global Privacy Control
Some browsers send a "Do Not Track" (DNT) or "Global Privacy Control" (GPC) signal. Our website records whether your browser sent these signals, but it does not currently change what it collects or how it tracks your visit in response to them (including the cookies, pixels and conversion reports described in section 3). To limit tracking, use the choices in sections 3 and 8.
10. Information we process for our customers
CableFi customers use our software to manage their own estimates, projects, clients and employees. For that information, the customer is responsible for its own privacy practices and for any notices and permissions its own contacts need, and we act as its service provider. If you are a customer's client or employee, please contact that customer with questions or requests; we will help them respond.
11. Children
Our Services are for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
12. Where we store information
CableFi is based in the United States, and our service providers store and process information in the United States and other countries. If you visit from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.
13. Security
We protect information with administrative, technical and physical safeguards, including encryption in transit, access controls and limited staff access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
14. Changes to this policy
When we change this policy we post the new version here with its effective date and version number; earlier versions are kept on record. If a change is material, we will also tell you by email or with a notice on our website before it takes effect where the law requires.
